Office Policies
Transparency and clear communication are at the heart of everything we do. These policies are designed to create a consistent, respectful experience for everyone. If you have any questions, please do not hesitate to ask.
Cancellation Policy
We understand that life happens, and sometimes you need to reschedule. We kindly ask that you provide at least 24 hours notice if you need to cancel or reschedule your appointment.
Cancellations made with less than 24 hours notice, or missed appointments without notice (no-shows), will be subject to a late cancellation fee equal to the full session rate. This fee cannot be billed to insurance.
We know this policy may feel strict, but it allows us to offer that time slot to another person who may be waiting for care. If an emergency arises, please contact our office and we will do our best to accommodate you.
Late Arrival Policy
If you arrive late to your session, we will still see you for the remainder of your scheduled time. For example, if you arrive 15 minutes late to a 50-minute session, your session will be 35 minutes.
The full session fee applies regardless of arrival time. We are unable to extend sessions beyond their scheduled end time, as doing so would affect other clients.
If you are running late, please call our office to let us know. For telehealth sessions, please log in to the portal on time so you can receive the full benefit of your session.
Payment Policy
Payment is due at the time of service. We accept all major credit and debit cards, as well as HSA and FSA cards. We do not accept cash or checks.
For insured clients, copays and coinsurance amounts are due at the start of each session. You are responsible for understanding your insurance benefits and any applicable deductibles.
If your insurance claim is denied, you will be responsible for the full session fee. Our billing team will work with you to appeal denials when appropriate and explore alternative payment options.
Confidentiality
Everything discussed in therapy is confidential. Your therapist will not share any information about you or your treatment without your explicit written consent, except in the following limited circumstances required by law:
If there is an imminent risk of harm to yourself or others; if there is suspected abuse or neglect of a child, elder, or dependent adult; if a court order requires disclosure; or if otherwise required by state or federal law.
We take your privacy extremely seriously. All records are stored in a HIPAA-compliant electronic health record system, and our entire team is trained in privacy and confidentiality best practices.
Emergency & Crisis Policy
Yoma Psychiatric Solutions does not provide emergency or crisis services. If you are experiencing a mental health emergency, please take one of the following steps immediately:
Call 911 or go to your nearest emergency room. Call or text the 988 Suicide and Crisis Lifeline by dialing 988. Text HOME to 741741 to reach the Crisis Text Line. Contact your local crisis center for immediate support.
Between sessions, if you are in distress but not in immediate danger, you may reach out to your therapist through the patient portal. Please note that messages are checked during business hours only and are not monitored for emergencies.
Telehealth Policy
We offer telehealth sessions as a convenient alternative to in-person visits. Telehealth sessions are conducted through our secure, HIPAA-compliant video platform accessible via the patient portal.
For telehealth sessions, please ensure you are in a private, quiet space with a stable internet connection. Use a device with a camera and microphone (a laptop, tablet, or smartphone works well). Please test your setup before your appointment.
Telehealth is subject to the same policies as in-person sessions, including cancellation, payment, and confidentiality policies. Telehealth may not be appropriate for all situations, and your therapist will discuss this with you.
